Safeguarding Policy

1. Introduction

LuminNation is committed to safeguarding and promoting the welfare of children, young people, and vulnerable adults who engage with our services. This policy outlines our approach to preventing harm and responding to safeguarding concerns.

All trustees, staff, and volunteers are expected to share this commitment and act in accordance with this policy at all times.

2. Our Commitment

We believe that:

  • Everyone has the right to be safe from abuse, neglect, and exploitation
  • Safeguarding is everyone's responsibility
  • All concerns and allegations should be taken seriously and responded to promptly
  • The welfare of the individual is paramount in all decisions

3. Scope

This policy applies to all individuals associated with LuminNation, including:

  • Trustees and board members
  • Paid staff (permanent, temporary, and contracted)
  • Volunteers and placement students
  • External partners and service providers working with us

4. Safeguarding Procedures

LuminNation maintains clear procedures for identifying and responding to safeguarding concerns:

  • All concerns are reported to the designated Safeguarding Lead immediately
  • Written records are kept of all concerns, actions taken, and decisions made
  • Concerns are assessed based on the level of risk and urgency
  • Where appropriate, referrals are made to local authority safeguarding teams or the police
  • The welfare of the individual at risk is the primary consideration in all decisions

5. Safer Recruitment

LuminNation follows safer recruitment practices for all roles involving contact with children, young people, or vulnerable adults:

  • Enhanced DBS (Disclosure and Barring Service) checks for relevant roles
  • Verification of identity, qualifications, and references
  • Assessment of suitability during the interview process
  • Probationary periods for new staff and volunteers

6. Incident Reporting

All safeguarding incidents or concerns must be reported without delay:

  • Staff and volunteers must report any concern — no matter how minor — to the Safeguarding Lead
  • An incident report form must be completed within 24 hours
  • The Safeguarding Lead will assess the concern and determine appropriate action
  • Serious incidents will be reported to the relevant statutory agencies and the Charity Commission where required
  • Whistleblowing procedures are in place for those who wish to raise concerns confidentially

7. Training

LuminNation ensures that all individuals working with beneficiaries receive appropriate safeguarding training:

  • Induction training covering safeguarding awareness for all new staff and volunteers
  • Regular refresher training (at least annually)
  • Specialist training for the Safeguarding Lead and trustees
  • Training records are maintained and monitored

8. Confidentiality and Data Protection

All safeguarding information is treated with the utmost confidentiality:

  • Information is shared only on a "need to know" basis
  • Safeguarding records are stored securely with restricted access
  • Data is handled in compliance with UK GDPR and the Data Protection Act 2018
  • Confidentiality may be breached only where there is a risk of serious harm or as required by law

9. Online Safety

As LuminNation delivers services through online platforms, we take additional measures to ensure safety in digital environments:

  • Clear guidelines for online interactions between staff/volunteers and beneficiaries
  • Use of secure, approved platforms for all online sessions
  • Monitoring and review of online service delivery

10. Review

This safeguarding policy is reviewed annually by the Board of Trustees, or sooner if there are significant changes in legislation, guidance, or following a serious incident.
